Who we are

Useful Bots is a trading name of Ming Ho. Ming Ho is the data controller for the information described here.

We're a small independent business. We're not part of any council or the Food Standards Agency (FSA).

Why we contacted you

We emailed your business about its public food hygiene rating, to offer help preparing for a re-rating visit.

What data we use, and where it comes from

Your business name, and company details from Companies House
Your published business email address, from your website or a public business listing
Your food hygiene rating and scores, from the FSA's public ratings site (FHRS open data)

If you buy from us, we also use your name, email, business name and the documents you send us, to deliver your order. Payments are handled by Stripe.

If you fill in a form on our website

Our AI receptionist and food hygiene pages have a short form. Depending on the page, it asks for:

Your name, your business name, and a mobile number or email address
How many calls you miss in a week, or whether your re-inspection has been booked (both optional)

We use this only to reply to you about what you asked for. We don't add you to a mailing list and we don't use it for marketing.

We store it in a database run by Supabase, on servers in London. We also note which page you used and when you sent it. We don't keep your IP address. Our website checks it briefly to stop the form being flooded, then forgets it.

Lawful basis

Marketing emails to businesses: legitimate interests (offering a relevant service to businesses based on public information).
Orders: performance of a contract.
Website forms: taking steps you asked for before a possible contract (replying to your request, or sending the free checklist you asked for).

Who we share it with

Only our email provider, Supabase (which stores what you send through our website forms) and, for payments, Stripe. We don't sell your data.

How long we keep it

If you don't reply: deleted within 6 months of our email.
Website forms: deleted 12 months after you send it, unless you become a customer.
Customers: order records kept for 6 years for tax purposes.
If you opt out: we keep only your email address on a do-not-contact list, so we never contact you again.

Opting out

Reply "stop" to any of our emails and you won't hear from us again. You can also email usefulbots@mail.grokbot.com.

Your rights

You can ask to see, correct or delete your data, and you can object to our use of it at any time. Email usefulbots@mail.grokbot.com.
